How to Avoid Emailing the Same Prospect Twice
Prevent duplicate outreach across imports, lists, campaigns and multiple sending mailboxes.

Normalize email addresses, enforce workspace-level uniqueness, check active and historical enrollments before queueing, and apply global suppression immediately before every send. Do not deduplicate only inside each CSV.
Duplicates enter in several ways
The same person can appear in event and prospecting lists, use aliases, or be imported by two teammates. Sender rotation adds another risk if each mailbox has an isolated queue.
Sam@example.com and sam@example.com should ordinarily resolve to one normalized address. A CRM export and conference list should update the same contact rather than create independent targets.
Use layered checks
No single check covers every race or late state change.
- Normalize and deduplicate during import.
- Block overlapping active enrollments.
- Record campaign history on the contact.
- Recheck suppression at send time.
Decide intentional re-contact separately
A previous campaign does not always mean never contact again, but the rule should be explicit, time-aware and subject to suppression. MailQV shared contact state protects execution.
Put it into practice
Run measured outreach with mailbox-level control.
MailQV connects sender rotation, sequences, contacts and campaign signals without claiming guaranteed inbox placement.
